What an AIA draw request actually is

On most commercial jobs a “draw” or “pay application” is a periodic request for payment based on how much work is complete. The AIA forms are the common format: the G702 (Application and Certificate for Payment) is the one-page summary, and the G703 (Continuation Sheet) lists every line of your schedule of values and how much of it is done. Some lenders and owners also require their own draw forms and lien waivers on top, so check your contract and loan documents.

The five steps to prepare a draw request

  1. Start from your schedule of values: one row per line item, with a scheduled value that adds up to the contract sum.
  2. Carry forward last period’s work completed for each line (column D on the G703).
  3. Enter this period’s work (column E) and any materials presently stored but not yet installed (column F).
  4. Add D + E + F to get total completed and stored to date (column G), then divide by the scheduled value for percent complete (column H) and subtract from scheduled value for balance to finish (column I).
  5. Apply retainage to the totals, subtract previous certificates for payment, and the result is the current payment due on the G702.

The G703 columns, at a glance

  • A: item number. B: description of work. C: scheduled value.
  • D: work completed from previous applications. E: work completed this period.
  • F: materials presently stored (not in D or E).
  • G: total completed and stored to date (D + E + F). H: percent complete (G ÷ C).
  • I: balance to finish (C − G). J: retainage, when it is tracked per line.

A quick worked example

Say a line has a scheduled value of $50,000. Previous applications billed $20,000 and this period you completed another $15,000 with $5,000 of materials stored on site. Total completed and stored is $40,000 (80%), the balance to finish is $10,000, and 10% retainage on that line is $4,000. Do that for every line, total the columns, and the G702 summary follows.

Mistakes that get a draw request sent back

  • Previous work completed not matching what was approved and paid last period.
  • Change orders added to the G703 but missing from the G702 contract sum (or the other way around).
  • Retainage figured on this period’s work instead of total completed to date.
  • Percent complete above 100% on a line after a change order.
  • Stored materials billed without the backup the contract requires.

Is this the official AIA form?

What is the difference between a draw request and a pay application?

In many contracts they mean the same thing: a periodic request for payment based on percent complete. “Draw” is also common on lender-funded projects, where the lender may require its own form and lien waivers in addition to the G702/G703.

What goes in each column of the G703?

How do I calculate retainage on a draw?

Multiply the retainage rate by total completed and stored to date, not just this period’s work. Then subtract total retainage held and previous certificates for payment to get the current payment due.
